Start the RFQ with the failure you cannot accept

The most expensive PVC keychain problem is rarely a small logo difference. It is a torn hanging loop, colors bleeding across raised lines, a charm that curls in the carton, hardware that rusts after sea freight, or a finished piece that is too heavy for the planned mailer. A useful RFQ starts by naming the primary risk: lowest-cost event giveaway, retail shelf appearance, licensed character accuracy, child-safe promotion, outdoor use, or strict brand color matching. Each target changes the thickness, Shore hardness, hardware, sampling method, and inspection level.

For a standard 2D soft PVC keychain, send the supplier a vector file, finished size in millimeters, target thickness, quantity, number of PVC colors, one-sided or two-sided construction, hardware type, packing method, and delivery country. If the RFQ only says “best price” with a PNG image, many factories will assume the cheapest workable build: 3 mm single-sided PVC, general color match by eye, iron chain with 25 mm split ring, bulk or simple OPP packing, and no special testing. That may be acceptable for a festival giveaway, but it is too loose for retail, licensing, or repeat corporate programs.

  • State finished size as width x height x thickness, for example 55 x 42 x 4 mm, and flag any maximum weight such as under 18 g for postal mailing.
  • Specify 2D flat relief, layered 2D, or true 3D sculpted PVC; do not write “3D” if you only mean raised outlines.
  • List Pantone Solid Coated references for every color, including black and white if they are brand-critical.
  • Define hardware: split ring only, chain plus ring, jump ring, lobster clasp, swivel clasp, ball chain, or carabiner.
  • Confirm packing: bulk, individual OPP bag, backing card, header bag, barcode label, retail box, or vending capsule.
  • State compliance needs before quoting, such as phthalate-restricted PVC, EN71-3, CPSIA, Prop 65, REACH, or nickel-free hardware.

Step 1: Choose the PVC construction before comparing prices

Soft PVC keychains are made by dispensing colored PVC compound into a metal mold and heat-curing it in layers. Common hardness is Shore A 50 to 75. Shore A 50 to 55 feels rubbery and is comfortable for children’s promotions, but narrow tabs stretch more easily. Shore A 60 to 65 is the usual balanced range for promotional and retail keychains. Shore A 70 to 75 gives cleaner edges and less bending, but large charms can feel stiff in a pocket.

Thickness is the main cost and durability lever. A 40 to 60 mm charm can be 3 mm for budget use, 4 mm for standard retail feel, or 5 to 6 mm for character goods and layered artwork. For designs over 70 mm wide, avoid 3 mm unless the outline is compact; long arms, tails, and corners can curl after curing or compression packing. Practical production tolerances for soft PVC charms are typically ±0.3 mm on length and width, ±0.4 mm on thickness, and ±0.5 mm on hole location unless a tighter tolerance is agreed before mold cutting.

Step 2: Price the RFQ using real MOQ tiers

At low quantities, the mold cost can matter more than the unit price. A simple one-sided 2D mold for a 50 to 60 mm charm is commonly USD 60-120 FOB. Double-sided molds usually run USD 120-220, and 3D sculpted molds can reach USD 180-350 depending on size, depth, number of cavities, and polishing time. Very small isolated color islands increase labor because each area must be filled cleanly, even if the finished charm is small.

As a practical China factory range, 500 pieces is a realistic minimum order for custom PVC keychains, but 1,000 pieces normally gives a better unit cost. For a 50 mm single-sided 4 mm soft PVC keychain with short chain and 25 mm split ring, FOB Yiwu or Ningbo pricing is often USD 0.48-0.90 at 500 pcs, USD 0.38-0.75 at 1,000 pcs, USD 0.30-0.58 at 3,000 pcs, and USD 0.23-0.45 at 10,000 pcs, excluding mold, testing, and special retail packaging. Double-sided artwork, 5-6 mm thickness, 3D sculpting, or premium hardware can add USD 0.08-0.40 per piece.

Ask the supplier to separate mold charge, sample cost, unit price, packaging, lab testing, and inland freight. If one quote is 20% lower, check whether the supplier changed 4 mm to 3 mm, quoted iron instead of stainless steel, removed individual bags, reduced color count, or assumed one-sided artwork. A clean quote should show a spec line such as: 55 x 42 x 4 mm, Shore A 60-65, 6 PVC colors, single-sided 2D, iron chain plus 25 mm split ring, individual OPP bag, 100 pcs inner, 800 pcs carton.

Step 3: Lock the technical drawing before mold cutting

PVC artwork must be simplified more than enamel pin or printed sticker artwork because liquid PVC needs enough wall width to hold color. For standard 2D PVC, keep raised separating lines at least 0.6 mm wide; 0.8 mm is safer for mass production. Recessed color channels should be at least 0.8 mm wide. Filled text should normally be 5 mm high or larger; below that, embossed text, debossed text, screen printing, or a printed label may be clearer. QR codes, fine legal text under 1 mm stroke width, gradients, metallic effects, and photographic shading should not be treated as normal PVC fills.

The hanging point is a common failure area. For a standard 25 mm split ring with short chain, use a reinforced PVC tab at least 5 mm from the outside edge. A 3.0-3.5 mm hole is typical for a jump ring or metal eyelet. If the hole is punched directly through soft PVC without reinforcement, it can elongate during use. For charms above 25 g, or shapes with a long lever arm, specify an embedded eyelet, thicker hanging tab, or metal rivet-style grommet.

Before paying for mold cutting, approve a production drawing rather than only the art file. The drawing should show finished dimensions, thickness, Pantone callouts, relief levels, hardware, hole diameter, hanging position, back treatment, and mold orientation. Moving the hole 2 mm can improve balance and reduce twisting on a retail hook. After the drawing is approved, changes to size, hole position, or relief depth usually require mold modification and may add 2-5 days.

Step 4: Approve samples with measurable checks

A pre-production sample usually takes 5-8 days after drawing approval for a simple one-sided 2D design, 7-10 days for double-sided 2D, and 10-14 days for 3D sculpted PVC. International express delivery to North America or Europe typically adds 3-6 days. For low-value event orders, buyers sometimes approve by video and high-resolution photos. For retail, licensed, or color-critical goods, approve a physical sample and keep it as the inspection master.

Inspect the sample under daylight or D65 lighting. PVC colors can appear darker in deep recesses and thicker layers, especially navy, burgundy, forest green, brown, and black-adjacent tones. A practical PVC color tolerance is Delta E 2-4 against the target, depending on pigment and surface texture. Requiring Delta E under 2 may need pigment trials and can extend sampling. For most promotional orders, the signed sample becomes the color standard, and the bulk must visually match it within normal production variation.

  • Measure width and height with calipers; accept ±0.3 mm for most soft PVC charms unless packaging requires tighter control.
  • Measure thickness at the base and raised areas; accept ±0.4 mm for standard PVC, or define tighter limits for vending capsules or rigid boxes.
  • Check hole diameter and position; typical tolerance is ±0.2 mm on hole diameter and ±0.5 mm on location.
  • Bend the thinnest section about 30 degrees ten times; reject cracking, whitening, delamination, or color separation.
  • Pull the chain or ring for 10 seconds; request 5 kg for standard charms and 8 kg for charms above 25 g or retail bag accessories.
  • Check split rings for closure, spring tension, and burrs; basic nickel plating is commonly 3-5 microns, while heavier retail hardware should be 5-8 microns.
  • Compare against the approved drawing for surface bubbles, color overflow, missing fills, front/back registration, and back-side cleanliness.

Step 5: Control bulk production before the line starts

After sample approval, bulk production for 1,000-5,000 pieces usually takes 10-15 days for simple 2D keychains and 15-22 days for double-sided or 3D designs. Orders above 20,000 pieces commonly need 20-35 days because molding, trimming, hardware assembly, packing, and carton labeling move through separate line schedules. Rush production is realistic only when the mold is complete, pigments are standard, hardware is in stock, and the packing is simple.

Bulk variation usually comes from pigment mixing, curing temperature, trimming, mold cleaning, and assembly. Ask the factory to keep the approved sample at the production station and record color batch references for repeat orders. Define acceptable visual defects before production. For retail, a reasonable standard is no bubble or black speck larger than 0.5 mm on the front logo face, no color overflow crossing a raised line by more than 0.3 mm, and no trimming flash over 0.5 mm on visible edges. For giveaways, minor back-side marks and tiny non-clustered bubbles may be acceptable if they do not affect the logo or hanging strength.

Use AQL instead of a vague “check quality” instruction. A common inspection setting for promotional PVC keychains is AQL 2.5 for major defects and AQL 4.0 for minor defects, with critical defects at zero tolerance. Critical defects include sharp metal burrs, toxic-material noncompliance, mold contamination, or unsafe broken hardware. Major defects include wrong color, missing hardware, broken loop, severe deformation, wrong size outside tolerance, unreadable logo, or incorrect packing. Minor defects include slight back-side marks, small color specks outside the main logo area, and trimming flash within the written limit.

Step 6: Specify hardware and packing early

A good PVC charm can still fail if the hardware rusts, opens, or scratches the product in transit. Standard hardware is an iron chain plus 25 mm split ring. For humid storage, outdoor use, or premium retail, specify 304 stainless steel split rings or zinc alloy swivel clasps. For plated iron or zinc alloy, state the finish and plating thickness: nickel, black nickel, antique brass, gold tone, or rose gold. Basic promotional plating is often 3-5 microns; products handled daily should use 5-8 microns and pass a 24-hour neutral salt spray test if corrosion resistance matters.

Packing should match the shape and shipping method. Thin long PVC parts can bend if packed loose in large inner bags. A safe default is one piece per OPP bag, 50-100 pieces per inner bag, and 500-1,000 pieces per export carton depending on weight. Keep master cartons under 15 kg gross weight for easier handling and lower crush risk. A 50 mm keychain often ships in cartons around 35 x 30 x 25 cm to 45 x 35 x 30 cm, but confirm final carton size after the packed sample because backing cards and boxes increase volume weight.

Step 7: Inspect finished goods against the approved sample

Final inspection should happen after hardware assembly and packing, not when only the PVC charms are molded. Randomly selected packed pieces should be opened and compared with the approved sample. For a 5,000-piece order under ANSI/ASQ Z1.4 general inspection level II, the common sample size is 200 pieces, with acceptance numbers depending on the AQL selected. If the order is high-risk, use a stricter level, add pull testing, or inspect during production as well as before shipment.

Inspect both appearance and function. Measure size, thickness, hole position, ring diameter, chain length, packing count, carton marks, and barcode placement. Open cartons from different pallet positions if the order is large. If you cannot send a third-party inspector, request photos of open cartons, inner packing, carton labels, measured calipers, and a short pull-test video. For children’s promotions or regulated markets, test the actual production batch, not only an old supplier material report.

Do not approve shipment because defects are described as “normal” if they were not visible on the signed sample or allowed in the written tolerance. At the same time, do not reject harmless differences that soft PVC cannot control perfectly, such as a very slight tone shift between thick and thin areas. The fair rule is simple: bulk goods must match the approved sample within written tolerances, pass the agreed functional tests, and be packed so they arrive in the same condition.

Place the order with a one-page purchase specification

Before paying a deposit, convert the artwork and expectations into a one-page purchase specification. Include size, thickness, Shore hardness if important, Pantone colors, construction type, hardware material, plating, packing, tolerances, sample approval rule, AQL level, compliance tests, carton limit, and target delivery date. This document is more useful than a long email thread because the factory, inspector, forwarder, and buyer all work from the same reference.

If you are sourcing several PVC keychains for one campaign, build a spec matrix instead of treating every design as a separate project. Shared hardware, common packing, consolidated cartons, and coordinated mold timing reduce cost and prevent mismatched ring colors, backing-card sizes, or carton labels. Send final vector artwork early; the sample clock should start only after the technical drawing is approved, not when the first inquiry is sent.

  • Request FOB pricing at 500, 1,000, 3,000, and 10,000 pieces so the true price break is visible.
  • Approve a technical drawing before mold cutting, including hole position, thickness, relief levels, and hardware.
  • Use one physical pre-production sample for retail, licensed, or color-critical orders.
  • Set AQL 2.5 major and 4.0 minor unless your buyer requires stricter inspection.
  • Keep one signed approved sample with your purchasing team and one at the factory for repeat orders.
  • Confirm carton weight, carton dimensions, carton marks, and packing count before final inspection.
