1. Confirm PVC Fits the Product Before You Request Pricing

The first sourcing decision is not whether a factory can make a PVC keychain; most can. The question is whether soft PVC matches the brand, use environment and artwork. PVC is strong for bright solid colors, mascot shapes, sports clubs, kids’ campaigns, outdoor giveaways, luggage tags and irregular silhouettes because the color is molded into the part rather than printed only on the surface. It is weaker for executive gifts that need metal weight, mirror plating, enamel gloss, fine typography or a thin jewelry-like profile.

For most custom keychains, specify soft PVC at 45 to 60 Shore A. A 45 Shore A part feels flexible and rubber-like; 55 Shore A is a common middle ground; 60 Shore A holds raised detail better but feels less soft. Typical finished thickness is 4.0 to 5.0 mm for a one-sided 2D promotional design, 5.0 to 7.0 mm for a two-sided design, and 6.0 to 9.0 mm for deep 3D relief or a molded loop. For parts under 70 mm, a practical dimensional tolerance is ±0.5 mm on length and width and ±0.3 mm on thickness.

PVC works best when artwork has 3 to 8 solid colors, bold outlines and clear color separations. If the artwork depends on gradients, metallic finishes, tiny legal text, exact photographic detail or translucent layers, compare PVC against zinc alloy, printed acrylic or woven labels before approving tooling. Changing the material after RFQ affects mold cost, unit price, weight, packaging volume, testing and the production calendar.

2. Build an RFQ That Removes Assumptions

A useful RFQ should not say only “quote this logo.” It should state finished size, thickness, number of sides, PVC color count, hardness, hardware, packing, target delivery date and trade term. Otherwise, suppliers may quote different materials and construction methods, making the lowest price misleading. One supplier may assume a flat 4 mm one-sided part with bulk packing while another assumes a two-sided 6 mm part with plated hardware and individual polybags.

Define the maximum outside dimension in millimeters and confirm whether the molded hanging loop is included. Common promotional sizes are 50 to 65 mm on the longest dimension; retail and tourist keychains often run 60 to 80 mm. For larger charms, ask for an estimated unit weight because freight and ring strength can become material cost drivers. A 60 mm by 45 mm, 5 mm thick PVC keychain commonly weighs 18 to 28 g depending on relief depth and hardware.

Color specifications should use Pantone Solid Coated or Uncoated references. Molded PVC can match solid colors reasonably well, but it is not a calibrated printing process. For standard colors, a realistic visual tolerance is Delta E 2.0 to 3.0 against the approved sample; neon, fluorescent, glow, glitter and transparent PVC usually need wider tolerance and should be physically sampled. If the design uses QR codes, gradients or small sponsor logos, call out whether those areas are screen printed, UV printed or simplified into molded color blocks.

  • State total width and height, for example 60 mm total height including molded loop.
  • Specify finished thickness such as 4.0 mm, 5.0 mm or 6.0 mm instead of “standard.”
  • Define material as soft PVC, 45 to 60 Shore A, with phthalate-free or REACH-compliant material if required.
  • List exact Pantone references and identify glow, glitter, transparent, printed or color-filled areas.
  • Confirm construction: one-sided with flat back, one-sided with debossed back logo, or fully two-sided molded design.
  • Specify hardware: 25 mm split ring, ball chain, lobster clasp, swivel hook or custom fitting.
  • Define packing: bulk, individual polybag, backing card, barcode label, retail header bag or gift box.
  • State inspection standard: ISO 2859-1 or ANSI/ASQ Z1.4, General Level II, AQL 2.5 major and 4.0 minor unless otherwise agreed.

3. Decide the Mold Strategy Before Approving the Quote

PVC keychains require tooling, and the mold plan affects price, detail and lead time. A simple one-sided 2D mold for a 50 to 65 mm part typically costs USD 45 to 90 FOB China. A two-sided mold or moderate 3D relief mold is usually USD 90 to 180. Very large charms, multiple cavities, deep undercuts or detailed sculpting can reach USD 200 to 350 because machining, polishing, venting and trial runs take longer.

Ask whether the quotation assumes a single-cavity or multi-cavity mold. For 300 to 2,000 pieces, a single-cavity mold is normally economical. For 5,000 pieces or more, a two-cavity or four-cavity mold can reduce production days and stabilize unit labor cost, especially when the design has few colors. The trade-off is higher tooling cost and the need to control cavity-to-cavity consistency in color filling, relief height and trimming.

Mold ownership and storage should be written on the proforma invoice or purchase order. Many factories store buyer molds free for 12 to 24 months after the last order, but they may charge storage after that or scrap inactive molds. Shipping the mold overseas is rarely useful unless the receiving factory has compatible PVC dispensing, heating and curing equipment. For repeat orders, the practical control documents are the approved vector artwork, Pantone list, sample photos, mold code and sealed golden sample.

4. Engineer the Hardware, Not Just the PVC Charm

Many field failures come from hardware rather than the PVC body. A good charm can still generate returns if the jump ring opens, the split ring loses springback or plating wears quickly. The RFQ should define ring diameter, wire diameter, connector type, plating color, plating thickness and minimum pull strength. If the product will be used by children or attached to bags, treat hardware as a safety and durability item, not a commodity accessory.

For standard PVC keychains, a 25 mm outside diameter split ring with 1.8 to 2.0 mm wire is common. Use 28 to 30 mm rings for heavier charms above 30 g or for retail orders where users carry several keys. Ball chains normally use 2.4 mm balls and 100 to 120 mm total chain length; they are suitable for tags and light souvenirs but easier to detach than split rings. Lobster clasps and swivel hooks add USD 0.08 to 0.25 per piece depending on size, base metal and plating.

For plated hardware, specify more than the finish color. Commercial promotional hardware is often plated at 3 to 5 microns for nickel, black nickel, antique brass or gold-tone finishes. Retail or heavier-use items can specify 5 to 8 microns, with the understanding that cost and lead time may increase. For EU or children’s markets, confirm nickel release, cadmium, lead and phthalate requirements at RFQ stage because compliant materials and third-party testing can add 3 to 7 days.

5. Treat the Digital Proof as the Production Specification

The digital proof is the factory’s manufacturing instruction, not a decorative sales drawing. Review it at 1:1 scale and check outside shape, relief levels, color separations, back-side layout, hanging loop position, hardware direction and printed areas. If the proof is approved with vague comments, the sample will normally follow the proof rather than the buyer’s earlier email description.

For molded PVC, keep raised divider walls between color areas at least 0.6 mm wide and 0.4 mm high. Raised text should usually be at least 1.2 mm tall; recessed text should be at least 1.5 mm tall. Stroke width should not fall below 0.35 to 0.45 mm, and legal copy below that should be printed on a flat recessed panel instead of molded. QR codes, small social icons and sponsor lines are better handled by UV printing or pad printing, with an adhesion test before bulk.

The hanging loop needs the same attention as the artwork. A molded PVC loop should have at least 2.5 to 3.0 mm wall thickness around the hole. Hole diameter is commonly 3.5 to 5.0 mm depending on the jump ring or chain connector. A loop placed too close to the edge can tear; a loop placed off-center can make the keychain hang crooked. For asymmetrical mascots, request a balance check from a physical sample, not only a proof image.

6. Approve Samples With Measurable Checks

Sampling usually takes 5 to 8 days after artwork approval for a simple one-sided mold and 7 to 12 days for two-sided or 3D work. Courier delivery commonly adds 3 to 6 days. Photo and video approval can save time for low-risk promotional orders, but physical approval is safer for retail programs, strict brand colors, printed details or unfamiliar hardware.

Measure the sample with calipers and compare it to the approved proof. Record outside dimensions, thickness, loop hole diameter, relief height, total weight, color placement, back-side finish, odor and flexibility. A mild PVC smell immediately after production is normal; strong solvent odor, oily surface, tackiness or color bleeding should be rejected because it may indicate curing, plasticizer or material problems.

Run simple functional checks before releasing bulk. For standard promotional use, hang a 1 kg static load from the assembled keychain for 10 seconds; for bag charms or heavier retail carry, use 2 kg for 10 seconds. Bend flexible parts 180 degrees once and check for cracking at thin walls. Rub printed areas 20 cycles with dry cotton cloth; for higher-risk printing, add a 3M tape pull or cross-hatch adhesion check. Reject sharp burrs, open jump rings, exposed wire ends and hardware that stains the PVC surface.

  • Approve against a dated sample approval form, not only chat photos.
  • Record actual sample size, thickness, weight and hardware dimensions for reorder control.
  • Keep one approved sample with the buyer and one sealed golden sample at the factory.
  • Photograph acceptable color range under neutral light, especially for brand colors.
  • Confirm whether sample hardware is final production hardware or temporary sample stock.
  • Classify corrections as mold change, color change, printing change, hardware change or packing change.
  • Do not approve bulk until the factory confirms whether corrections require new sampling or only pre-production photos.

7. Set MOQ, Lead Time and AQL Before Bulk Production

For custom PVC keychains, a practical MOQ is usually 300 to 500 pieces per design, although unit pricing improves sharply at 1,000 pieces. At 300 pieces, a simple 60 mm one-sided design may cost USD 0.75 to 1.40 FOB because tooling setup and hand color work are spread over fewer units. At 1,000 pieces, the same item often falls to USD 0.38 to 0.85 FOB. At 5,000 pieces, it can reach USD 0.25 to 0.55 if the design is not color-heavy and packing is simple.

Bulk production after sample approval is typically 10 to 15 days for 500 to 2,000 pieces, 15 to 22 days for 3,000 to 10,000 pieces, and 22 to 35 days for larger or multi-design orders. Add 3 to 7 days for backing cards, barcode labels, retail bags, special plating or third-party testing. If delivery is by air, confirm packed carton data early; a common export carton is 35 x 35 x 30 cm or 40 x 30 x 30 cm, with gross weight often kept under 15 to 18 kg for handling.

Inspection terms should be agreed before production starts. For most B2B promotional orders, use ISO 2859-1 or ANSI/ASQ Z1.4, General Inspection Level II, AQL 2.5 for major defects and AQL 4.0 for minor defects. Critical defects should be AQL 0, including wrong logo, wrong colorway, broken hardware, sharp metal burrs, unsafe small parts for child-related products, missing legal markings or non-compliant material declarations.

8. Issue a PO With One Controlled Specification Sheet

Before placing the purchase order, consolidate every variable into one controlled document: artwork revision, size, thickness, Shore hardness, Pantone colors, side construction, mold type, hardware, plating thickness, packing, carton marks, compliance requirement, inspection standard, lead time and shipping term. Do not rely on scattered email history for production control. Attach the specification sheet to the PO and require supplier acknowledgement before deposit payment.

If the order includes several designs, group them by size, thickness, hardware and packing so the factory can plan tooling, color batching and assembly efficiently. Mixed designs with identical rings and packaging are easier to control than designs with different chains, backing cards and bag sizes. For distributors, confirm whether each design needs separate carton labeling, inner polybag counts or end-customer SKU labels.

The practical next step is to send a vector file, target quantity, deadline, destination and the checklist above. Ask the factory to flag thin color walls, weak loops, unreadable text and unsuitable print areas before mold cutting. If the design is borderline for PVC, request a side-by-side quote for PVC, zinc alloy and printed acrylic before paying for tooling; the right material decision at RFQ stage is cheaper than a corrected mold after sampling.
