Ordering Custom PVC Patches: RFQ to Bulk Shipment
Step 1: Decide if PVC is the right patch before you send the RFQ
The common buyer problem with PVC patches is not finding a factory; it is discovering after sampling that the product is too heavy, too stiff, or too expensive for the garment or bag it must attach to. PVC works best for outdoor gear, uniforms, tactical-style merchandise, luggage, sports clubs and children’s accessories where water resistance and raised 3D color are more important than a textile feel. If your design needs very fine gradients, soft drape, or a low-cost giveaway under USD 0.40, woven or printed patches usually fit better.
For most custom PVC patches, practical size ranges are 50 to 100 mm wide, with 2.0 to 4.0 mm total thickness. A 70 mm wide patch at 3.0 mm thickness normally weighs 18 to 28 g depending on relief height and backing. That weight is acceptable on backpacks and jackets, but can pull thin T-shirts out of shape, especially when hook-and-loop backing is added.
ZheCraft usually recommends PVC when the buyer needs bold color blocks, weather resistance, and repeatable shape over several reorders. It is less suitable for luxury fashion branding because the surface has a rubber-like appearance, even when the mold is very clean. Deciding this before the RFQ avoids paying for a mold on the wrong process.
Step 2: Build an RFQ that fixes the dimensions, hardness and relief
A useful PVC patch RFQ should not only say “custom rubber patch.” It should define the outside size, total thickness, number of colors, relief style, backing, expected quantity, packing method and target delivery date. Without those details, suppliers may quote a thin 2D patch with no backing while the buyer expects a thicker 3D patch with sewn Velcro.
For soft PVC, the normal material hardness is 50 to 65 Shore A. Around 50 Shore A feels more flexible and is better for curved surfaces; 60 to 65 Shore A gives sharper raised edges and less warping on large patches. For a 75 mm patch, our usual dimensional tolerance is ±0.5 mm on width and height, ±0.3 mm on thickness, and ±0.2 mm on raised-line height after mass production stabilizes.
Relief should be specified in levels. A simple 2D patch has raised borders and recessed color areas, usually with 0.6 to 0.9 mm height difference. A 3D patch uses rounded or sculpted surfaces, often 1.0 to 1.8 mm above the base, and requires more careful mold work. If the design has letters under 2.0 mm tall or line gaps under 0.35 mm, ask the factory to flag risk before quoting instead of trying to force the original artwork into PVC.

Step 3: Compare supplier quotes on the same technical basis
PVC patch quotations can look inconsistent because mold cost, backing cost and packing cost are often separated differently. A low unit price may exclude hook-and-loop backing, or quote a single-level 2D mold when the buyer needs rounded 3D relief. Always ask each supplier to show mold charge, unit FOB price, sample lead time, mass lead time and packing assumption separately.
For reference, a 70 mm 2D PVC patch with 4 colors and plain back is commonly quoted at about USD 0.55 to 1.05 FOB China at 500 pcs, depending on thickness and shape complexity. With stitched hook-and-loop backing, the same patch may rise to USD 0.85 to 1.55. At 1,000 pcs, the unit price often drops by 10 to 25 percent because the mold and setup time are spread over more pieces.
Mold charges are usually higher than embroidered patch setup because PVC requires a metal mold, typically USD 45 to 120 for a simple 2D design and USD 90 to 220 for a larger or 3D design. ZheCraft treats approved molds as reorder assets for repeat buyers, but storage life and mold ownership should be written into the purchase order. If annual reorder volume is uncertain, compare the total landed cost at the first order quantity, not only the theoretical 3,000 pc price.

Step 4: Approve the factory drawing before paying for the mold
Once the quotation is accepted, the factory should convert your artwork into a production drawing showing size, color zones, relief levels, backing position and any sewing border. This drawing is more important than a polished mockup because it decides how the mold will be cut. If a thin line disappears at this stage, it will not magically return in mass production.
For PVC patches, keep raised divider lines at least 0.5 mm wide where possible; 0.35 mm is a minimum-risk edge only on small, non-critical details. Recessed color pools should generally be at least 0.8 mm wide to fill cleanly without color bleeding. Text is safer above 2.5 mm height for raised letters and above 3.0 mm for recessed filled letters, especially on flexible patches.
The buyer should mark which features are critical and which may be simplified. For example, a mascot’s eye shape may be brand-critical, while a background texture can be removed. Step 5: Check the physical sample like a production part, not a photo proof
A PVC sample usually takes 5 to 8 days after mold confirmation for a 2D patch, and 7 to 12 days for a 3D patch. International courier transit adds another 3 to 6 days. Rush samples are possible for simple patches, but the buyer should not compress the review so much that color, backing and flexibility are ignored.
When the sample arrives, measure it with calipers and bend it around the surface where it will be used. A patch intended for a cap, sleeve or curved bag panel should not lift at the corners after a light bend test. Check the back surface as well: hook-and-loop stitching should sit 2.0 to 3.0 mm inside the patch edge unless a full-edge sew line was specified.
Color approval should be realistic. Soft PVC pigments are matched visually to Pantone, but the rubber surface and relief shadows can make colors look slightly different from paper chips. For normal commercial tolerance, accept a visual match under D65 light within roughly Delta E 2 to 4 if the color is not a tightly controlled corporate shade; for strict brand colors, approve a physical color chip or previous golden sample before mass production.

- Check relief height and whether fine lines are clean, not collapsed
- Compare colors under neutral daylight, not only office yellow light
- Bend the patch 20 to 30 degrees and check for corner lifting or cracking
- Pull lightly on hook-and-loop, pin, magnet or adhesive backing
- Confirm sewing channel width if the patch will be stitched onto garments
- Photograph and mark any required changes directly on the sample photos
- Keep one approved sample sealed as the golden sample for bulk QC
Step 6: Freeze the bulk order details before production starts
Bulk production should start only after the sample approval notes are locked. This includes quantity, color list, mold revision, backing, packing, carton marks, inspection standard and ship date. Small “just one more change” requests after PVC has been injected or dispensed into the mold can create mixed versions in the same batch.
Typical mass production lead time is 10 to 16 days for 300 to 1,000 pcs of a simple 2D patch after sample approval. More complex 3D patches, 6 or more colors, sewn hook-and-loop backing, or retail packing usually need 14 to 24 days. Peak-season production before large trade shows or Q4 promotional campaigns can add 5 to 10 days, especially when multiple patch designs share one shipment.
For purchase orders, define overrun and underrun allowance. A practical tolerance is ±3 percent for orders below 1,000 pcs and ±2 percent for larger orders, unless exact quantity is mandatory. If exact quantity is required for event kits, state “no underrun accepted” and expect the factory to produce a small buffer, which can slightly increase cost.

Step 7: Inspect bulk with measurable defects and AQL rules
PVC patch defects are different from metal pin defects. The main issues are color contamination, bubbles, under-filled recessed areas, warped edges, off-position backing, weak stitching and inconsistent thickness. A good inspection plan separates major defects that affect use or brand appearance from minor defects that are only visible at close range.
For standard promotional orders, ZheCraft commonly works to AQL 2.5 for major defects and AQL 4.0 for minor defects, using a general inspection level II sampling plan unless the buyer specifies otherwise. Critical defects, such as sharp exposed metal from a pin attachment, loose magnets that can detach, or severe color errors on a controlled logo, should be set at 0 accepted. For children’s items, the inspection should be stricter and the hardware choice should be reviewed separately before order placement.
Set measurable limits in the QC checklist. For example, reject if size is outside ±0.5 mm, thickness outside ±0.3 mm, backing offset above 1.5 mm, visible color bleed over 0.3 mm into an adjacent area, or warping causes any corner to lift more than 2.0 mm on a flat table. Minor dust specks below 0.3 mm on non-logo areas may be acceptable if they are not obvious at arm’s length.
- Major defects: wrong color, wrong backing, severe warping, missing color fill, broken stitching
- Minor defects: tiny specks, slight edge flash, small non-logo surface marks
- Critical defects: sharp parts, loose small magnets, unsafe pin hardware, wrong customer logo
- Functional checks: hook-and-loop peel, bend test, magnet hold, adhesive tack if used
- Packing checks: quantity per inner bag, carton weight, item labels, mixed-design separation
Step 8: Control packing and shipping so good patches do not arrive damaged
PVC patches are tougher than enamel pins, but they can still deform if packed under heavy pressure or heat. Bulk packing of 50 to 100 pcs per polybag is economical for plain-back patches, but patches with raised 3D faces or light colors should not be squeezed too tightly. For retail or event distribution, individual polybags add about USD 0.03 to 0.08 per pc, while printed backing cards or header bags may add USD 0.08 to 0.25 depending on paper thickness and printing.
Cartons should normally be kept under 15 kg gross weight for easier handling and to reduce compression. A common export carton size is around 40 x 30 x 25 cm, adjusted to patch size and packing style. If patches have hook-and-loop backing, separators or opposite-side stacking can reduce scratching and prevent hooks from catching the PVC face.
For shipment planning, air courier is practical for urgent 100 to 1,000 pc orders and usually takes 3 to 7 days after pickup, depending on destination and customs. Sea freight or consolidated air freight is more economical for large retail orders but needs earlier booking. The shipping mark should match the PO, design code, colorway and carton count so distributors can sort mixed designs without opening every carton.

Before asking three factories for prices, prepare one controlled sourcing pack rather than sending a logo and asking for “best price.” Include artwork, size, thickness, hardness, relief type, backing, quantity tiers, packing and delivery deadline. This reduces quote spread and makes it easier to identify which supplier understands the process.
If you already have a patch sample from another supplier, send photos of front, back, side thickness and a caliper measurement. If you are starting from artwork only, tell the factory where the patch will be used: sleeve, cap, backpack, tactical vest, retail card or event giveaway.
