A 35 mm metal pin is compact and normally bills by actual gross weight on air lanes. A 900 mm x 20 mm polyester lanyard is lighter but bulkier, so it can bill by dimensional weight. Match Mode to Deadline and Cargo Shape
Air express is useful when the event date is fixed and the urgent quantity is modest. Make Trade Terms and Customs Files Match

FOB is common in merchandise quotations, yet FOB is designed for vessel shipment at a named port and is not the cleanest term for courier or air cargo. FCA can be more precise for air pickup because it identifies delivery to the carrier at a named place. EXW gives the buyer more export-handling responsibility. DDP may look convenient, but the buyer should confirm the importer of record, HS code, duty handling, VAT inclusion and whether any duty amount is fixed or only estimated.
For a mixed promotional order, the commercial invoice should separate item type, material, quantity, unit value, currency, country of origin and shipment leg. The packing list should match carton marks exactly, especially when urgent air cartons and slower replenishment cartons leave on different dates. For example, do not combine 8,000 pins into one invoice line if 2,000 pins ship by air first and 6,000 pins ship later by rail or sea under a separate packing list. - Compare air express, air cargo, rail and sea LCL using chargeable weight or cubic meters, not piece count alone.
- Put AQL level, tolerances, plating thickness, attachment requirements, lanyard hook type and packing method into the PO before final inspection.
- Verify Incoterms, importer of record, HS code, duty handling, VAT treatment, destination delivery scope and rate expiry with the forwarder.
- Require separate carton numbers, packing-list lines and commercial-invoice quantities for urgent air cartons and slower replenishment cartons.
If the event date falls inside the slow-freight window, split the order deliberately instead of rushing every carton. Air the minimum launch quantity, move the balance by the slower mode that fits the replenishment date, and keep carton numbers traceable from final QC through customs clearance.
