1. Confirm PVC Is the Right Patch Construction

PVC is the right choice when the patch must handle moisture, abrasion, outdoor use, frequent wiping, or a modern rubber-like appearance. It fits uniform identifiers, tactical morale patches, bag branding, youth merchandise, event giveaways, keychain patches, and outdoor accessory programs. It is not the best option for realistic faces, fine gradients, metallic thread effects, very small legal copy, or designs that need a soft textile hand feel.

Most custom PVC patches land between 50 mm and 100 mm wide. A practical promotional spec is 75 mm wide at 2.5 mm total thickness. For uniforms and bags, 3.0 mm gives a more substantial feel without becoming too heavy. Heavy 3D relief may reach 4.0-4.5 mm, but that adds weight, increases cure time, and can sag on thin fabric if the backing is large and stiff. For most first orders, 2D molded soft PVC is the safest route; reserve 3D sculpting for mascots, layered emblems, or premium retail items where the raised profile is part of the value.

2. Write an RFQ That Forces Comparable Quotes

A useful RFQ removes guesswork. Send vector artwork and specify size, thickness, color count, Pantone references, backing, border style, packaging, target quantity, delivery country, and whether a physical sample is required before mass production. If the RFQ only says “quote this logo,” one supplier may price a 2.0 mm sew-on patch in bulk bags while another prices a 3.0 mm patch with hook backing, individual OPP bags, and export carton marks. Those quotes are not comparable.

Color count has a direct cost impact because every molded color requires filling, curing, and cleanup control. Most corporate, event, and uniform patches use 3 to 6 colors. Seven to 10 colors are possible, but the mold becomes more congested and production speed drops, especially where narrow raised walls separate small color areas. Ask for one firm quantity and one price-break quantity, such as 500 pcs and 1,000 pcs, because the mold fee is fixed and the unit price drops when the setup cost is spread across more pieces.

3. Compare Price by Mold, Backing, and MOQ Tier

PVC patch pricing is easy to misread because the mold fee, backing, packaging, and freight may be separated. For a simple 75 mm 2D patch with 4 molded colors and sew-on backing, realistic FOB China pricing is commonly USD 0.58-0.98 per pc at 500 pcs, USD 0.40-0.72 at 1,000 pcs, and USD 0.30-0.55 at 3,000 pcs. A one-time mold fee often falls between USD 45 and USD 120 depending on size, relief depth, edge complexity, and whether the factory needs separate tooling for front face and back shape.

Backing changes the landed cost. Hook backing usually adds USD 0.08-0.25 per pc, depending on patch size and whether the matching loop side is included. Adhesive backing usually adds USD 0.04-0.12 per pc, but it is not suitable for repeated washing, rough fabric, oily surfaces, or high-heat outdoor use. Printed backing cards add about USD 0.05-0.18 per set at common quantities, plus card printing setup if the design is not shared across multiple SKUs.

4. Approve the Mold Drawing Before Sampling

Before paying for a physical sample, approve a production drawing that shows the outline, color map, raised dividers, recessed fill areas, backing, thickness, and any sewing channel. Molded PVC cannot reproduce every line from a digital logo. As a practical production rule, raised dividing walls should be at least 0.6 mm wide, with 0.8 mm safer for bulk repeatability. Recessed color channels should be at least 0.8 mm wide so the liquid PVC can fill cleanly without voids. Molded uppercase text should be at least 3.0 mm high; 4.0 mm is safer for long names or curved lettering.

If the patch has a sew-on border, reserve 2.0-3.0 mm from the outer edge so the needle does not cut into the logo or split a thin PVC wall. For hook-backed patches, avoid fragile protruding tips because the hook layer must be die-cut and bonded behind the PVC face. For keychain-style patches, specify a reinforced loop at least 5 mm wide with a 3.0-4.0 mm hole; thinner loops can tear during pull tests or when attached to split rings.

This is the point to simplify art. Remove hairline outlines, enlarge legal text, merge tiny color islands, and decide whether fine details should become printed accents instead of molded fills. A drawing review that takes 20 minutes can prevent a 5- to 8-day resample cycle.

5. Sample One Final Construction and Test It

A standard PVC patch sample usually takes 5 to 8 days after mold drawing approval. Large patches, 3D sculpting, translucent colors, glow pigments, or more than 7 molded colors can push sampling to 8 to 12 days. Rush sampling is possible for some 2D designs, but it increases the risk of uneven fill, trapped air, color drift, or a backing bond that has not fully cured before shipment.

When the sample arrives, inspect it against the RFQ and drawing, not only against the logo. Measure width, height, and thickness with calipers. For patches under 100 mm, a normal size tolerance is ±1.0 mm; larger patches may need ±1.5 mm. Thickness tolerance is commonly ±0.3 mm for 2D patches and ±0.5 mm for heavy 3D patches. Check that the backing is centered within ±1.5 mm, the edge is smooth, the molded lines are continuous, and the surface is free from visible dirt, incomplete fill, or sticky residue.

  • Bend test: flex 180 degrees three times; molded colors should not crack or peel
  • Backing pull check: pull hook, adhesive, pin, or magnet by hand; corners should not lift under normal force
  • Color check: compare to Pantone target under D65 daylight or a lightbox, not warm office lighting
  • Surface check: reject obvious bubbles over 0.5 mm, black specks, contamination, and missing fill
  • Edge check: confirm the border is clean enough for sewing, retail handling, or repeated hook-and-loop use
  • Fit check: test the patch on the actual garment, bag, cap, display card, or keychain hardware

6. Lock the Golden Sample and QC Limits

After sample approval, record the golden sample number, final artwork revision, Pantone list, dimensions, thickness, backing, packaging, carton label format, and approved defect limits. Do not rely on a chat message that says “sample approved,” especially if the order may repeat. For reorders, the strongest control document is a one-page production spec sheet linked to photos of the approved front, back, side profile, backing, and packaging.

For bulk inspection, define critical, major, and minor defects before production starts. Critical defects include wrong logo, wrong backing, unsafe sharp hardware, restricted material risk, or a strong chemical odor that affects use; acceptance should be zero. Major defects include size outside tolerance, peeling backing, wrong color, missing color fill, broken edges, or wrong packing quantity; many buyers use AQL 2.5 for major defects under General Inspection Level II. Minor defects such as tiny edge flash, slight packaging wrinkles, or small non-functional specks may be set at AQL 4.0 if retail appearance remains acceptable.

7. Plan Production, Packing, and Freight Timing

Bulk production normally takes 10 to 18 days after golden sample approval for 500 to 3,000 pcs of a standard 2D design. Orders above 5,000 pcs, multi-design assortments, 3D sculpting, retail card packing, or special pigments can require 18 to 28 days. If the order is tied to an event, add at least 5 to 7 days for final inspection, repacking, export handling, and courier or air pickup. Sea freight only makes sense for larger, less urgent programs because the patches are compact but still require consolidation time.

MOQ depends on complexity. A simple sew-on PVC patch can be made at 100 pcs, but the unit price will be high because the mold cost is spread across a small run. A more economical custom MOQ is 300-500 pcs. For aggressive promotional pricing, 1,000 pcs is usually the first useful tier. Multi-design orders can often share one shipment and carton mark plan, but each design normally needs its own mold, color setup, and approval record.

Packing should match the selling channel. Bulk bags of 50 or 100 pcs are fine for internal uniform issue. Retail orders should use individual OPP bags, header cards, or backing cards to prevent scuffs and mixed counts. Keep export cartons under about 15 kg gross weight; heavy 3D PVC patches packed too tightly can develop compression marks, especially in warm transit conditions.

8. Send a Complete Package for a Faster Order

The fastest PVC patch orders begin with a complete RFQ package, not a logo alone. Send vector artwork, target size, thickness, Pantone references, backing type, quantity, delivery country, required date, and packaging preference. If you have an existing patch to match, include front, back, and side photos plus caliper measurements for width, height, and thickness. A short video showing flexibility and backing strength is useful when matching an old supplier’s hand feel.
