A Buyer’s Spec Sheet for Custom Lanyards and Badges
Start With The Use Case, Not The Artwork
Most rework on lanyards and badges starts before artwork is approved. A buyer sends a logo, but the factory needs a functional brief: who will wear it, how many hours per day, what the badge carries, and whether the set is for a one-day event, daily employee use, or retail resale. A 15 mm school lanyard and a 25 mm conference lanyard can both look acceptable in mockups, yet they behave very differently in load, comfort, and print legibility.
The use case determines the build. For a 1-day expo badge, a 15-20 mm polyester lanyard with a swivel hook and an 85.6 x 54 mm PVC card holder is usually enough. For daily office wear or a heavier badge reel, move to a 20-25 mm strap, a reinforced attachment point, and a breakaway if the environment requires it. If the badge includes a metal shell, acrylic face, or multiple cards, the hanging load should be stated up front so the factory does not size the clip for a lighter accessory than you actually plan to use.
A useful RFQ is a control document, not an art request. If you skip use case, the supplier will often quote the lowest-cost construction that fits the picture, not the application. That is how buyers end up with badges that twist, straps that curl, and clips that fail after a few hundred cycles.
Lanyard Strap Specs, Line By Line
Start with strap material, because material drives feel, print method, and cost. Polyester is the default for most corporate and event programs: it prints cleanly, keeps its shape, and usually lands around USD 0.18-0.55 FOB per piece for standard promo builds. Nylon feels smoother and more premium, but it reflects light differently and often costs more once print coverage and finishing are included. Satin is soft and comfortable, but it is less abrasion-resistant and more prone to edge curling if heat sealing and stitch control are loose.
Width affects both comfort and visibility. A 10 mm strap suits light badges or short-term passes, 15 mm is the common baseline, and 20-25 mm is better for heavier hardware or when the brand needs the strap to read clearly from 1-2 meters away. For most commercial orders, a finished width tolerance of ±1 mm is realistic; tighter control is possible but usually adds cost. Finished length is commonly specified at 900-980 mm, with ±10 mm tolerance for standard production. If the badge must sit lower on the chest or above a uniform pocket, state the drop position instead of relying on default length.
Thickness is usually implied by weave and material, but buyers should still ask for a target. A practical finished thickness range is 0.7-1.2 mm for standard polyester or nylon lanyards, depending on weave density and coating. Thinner constructions feel lighter but can twist more; thicker constructions hold shape better and often feel more premium. If the strap will carry a badge reel or heavier insert, a firmer weave and stronger stitch zone are worth specifying.
Print method should follow the graphic, not the other way around. Screen print is economical for simple logos and spot colors. Dye sublimation is better for full-coverage art, gradients, and photographic detail. Woven or jacquard structures are appropriate for premium texture and durable branding, but they are not the right choice for small reverse text or fine QR codes. In buyer terms, a simple printed polyester lanyard often fits a 100-300 piece MOQ, while woven or jacquard custom work commonly starts around 500-1,000 pieces because the setup and pattern control are less flexible.

Hardware Choices That Change Failure Rates
Hardware is where low-cost orders usually fail in use, not in photos. A swivel hook is versatile and standard for ID cards, but if the badge rotates excessively, the user sees the back of the card all day. Lobster clasps feel more secure for larger badges or multi-item attachments, while bulldog clips are fast and inexpensive but can scratch card holders and lose grip after repeated cycles. For orders that will be handled daily, the attachment point matters as much as the strap itself.
Breakaway clasps are not optional in many schools, clinics, factories, and public venues. The buyer should specify whether the breakaway is required at the back of the neck or on one side, and whether the release point should open under accidental load but remain secure in normal movement. For child use or crowded environments, call out the safety requirement directly in the RFQ instead of assuming the supplier will choose it. If the supplier claims a breakaway, ask for the release direction and the re-engagement feel, because overly loose breakaways can separate too easily during routine wear.
When the badge is heavier than a standard paper insert, ask for a stated supported load for the clip and joiner. A practical buying rule is this: lightweight paper or PVC ID cards are usually fine with standard promo hardware, but rigid shells, metal badges, and badge reels need a reinforced joint and a better quality ring or hook. In mixed sets, the weak point is usually the split ring, swivel barrel, or crimp area rather than the strap body.
A useful line item for procurement is hardware finish. Nickel-plated and chrome finishes are common, but buyers should check for plating consistency, sharp edges, and rust risk if the item may see humidity. If the order is for long-term use, ask the factory to state the clip material and any corrosion protection rather than just listing a generic hook.
Badge Format, Insert Size, And Visibility
Badges should be specified by outer size, insert size, and visible print area. The most common credential card size is 85.6 x 54 mm, but the holder may need a slightly larger shell, such as 90 x 60 mm, to account for border thickness and edge protection. If the buyer prints cards in-house and inserts them later, define the exact insert cut size, corner radius, and orientation so the card does not buckle or slide. A corner radius of 3-4 mm is common for standard ID cards, but the holder opening should match the actual finished card, not the nominal paper size.
Conference badges should be designed around reading distance. If the name must be readable at 1 meter, smaller typography and denser layouts may work. If the badge must be readable at 3 meters, the name field, company line, and QR code need more spacing and larger type. A QR code needs a quiet zone around it; if the code is too close to the edge or print is too dense, scanning can fail even when the proof looks fine on screen. Gloss finishes can also create glare, so matte lamination is usually the safer choice when scanning matters.
For disposable events, a paper insert and soft PVC holder may be enough and can keep the FOB cost near USD 0.08-0.30 for basic holders, depending on size and attachment. For reusable programs, thicker PVC, rigid shells, or custom die-cut shapes raise cost but reduce warp, tearing, and replacement frequency. The key is not to overbuild a one-time badge, but not to underbuild a daily-use credential either.
If the badge will carry variable data, the buyer should define the minimum print resolution and the acceptable failure mode. For example, if the name field and QR code are both critical, then scanability is a reject condition, not just a visual preference. That distinction belongs in the spec sheet, not in a later complaint email.
Print, Color, And Artwork Controls
Color control on lanyards is harder than most buyers expect because textile ink behaves differently across polyester, nylon, and woven structures. Pantone matching should be defined as either a visual target or a strict approval gate. If the buyer wants repeat orders to match, a retained golden sample matters more than a PDF proof. A digital file can confirm layout, but it cannot prevent shade drift in production yarn, ink mix, or heat transfer conditions.
Line width is a practical limit, not a design preference. Fine reversed-out text below about 1.5 mm stroke width can disappear on woven lanyards, and small logos with tight counters can blur after weaving or shrink slightly during finishing. For small legal lines, tiny QR codes, or multi-line slogans, screen print or sublimation is usually more reliable than woven construction. If the buyer wants a premium woven texture, the artwork should be simplified before it goes to the loom.
Badge print quality is controlled by contrast, resolution, and finish. Matte lamination reduces glare and usually photographs better. Gloss lamination looks sharper in a sample but can reflect overhead light and make scanning harder. Ask the supplier to confirm artwork size, minimum font size, and barcode quiet zone in the proof. If variable data is involved, request a sample print of the smallest name and the smallest code, not just the main hero layout.
A practical artwork control set includes the final Pantone reference, accepted stroke width, approved font size floor, and whether the factory is allowed to auto-reflow text. Without that control, buyers can end up with a visually similar item that fails at the point of use.
Quality Checks That Actually Catch Problems
Quality control for lanyards and badges should be written as checks, not hopes. The first production output should be checked for finished width, finished length, print alignment, edge finish, hardware function, and visual consistency. For a normal promo order, an AQL 2.5 general inspection level is common for visible defects. Critical items, such as breakaway function and attachment integrity, should be treated separately and inspected more tightly than cosmetic issues.
A useful factory QC list should include print registration, color consistency, stitching or heat-seal quality, hardware corrosion signs, and whether the swivel rotates smoothly without binding. For badges, confirm that the insert slides correctly, the window does not haze, and the clip or reel attachment point stays secure under repeated handling. A common miss is an insert opening that is 1-2 mm too tight; the badge looks fine in a carton, but cards curl or jam during insertion.

A buyer should also ask whether the quote includes FOB packing in bulk, OPP bagging, or retail carding. Packaging can materially change the landed cost and lead time. If multiple SKUs are being quoted, keep the hardware, strap, badge, and packaging lines separate so the factory does not bury risk inside a single blended unit price.

What To Lock Before You Send The RFQ
Before contacting a factory, turn the idea into a one-page spec sheet with five locked decisions: strap width, material, hardware, badge size, and print method. Add tolerance targets for width and length, define whether breakaway is mandatory, and state whether Pantone matching is visual or a hard approval gate. That is enough to prevent most quote chaos and stop the supplier from filling gaps with assumptions.
Attach the logo file, but also include the use case, target load, and required safety features. Ask the supplier to quote strap, hardware, badge, printing, and packaging as separate lines so you can compare apples to apples. If the order matters, ask for a pre-production sample or golden sample approval before mass production, and keep that approved sample as the reorder reference.
The strongest RFQs are specific enough to remove guesswork but not so rigid that they force unnecessary tooling. When the factory knows the wear conditions, load, color target, and inspection standard, the quote becomes sharper, the sample stage becomes shorter, and the finished product is much less likely to come back for rework.
