Step 3: Approve the Sample Against Measurable Specs

Sample approval is the main quality gate in the sourcing cycle. After tooling is complete, request a pre-production sample before the bulk run starts. For small orders this is usually 1 physical piece or a 3 to 5 piece set when the design uses multiple attachments, moving parts, or two finishes. Typical sample charges run about USD 30 to 60 for pins and USD 40 to 80 for keychains or coins, plus courier freight of roughly USD 25 to 45 depending on lane. Sample lead time is commonly 5 to 8 days for a standard pin and 7 to 12 days for more complex cast products.

Approve the sample against a checklist, not against memory or phone photos. Measure overall size with calipers. For larger programs or mixed-SKU orders, milestone updates every 3 to 4 days work better. The goal is to catch process drift before all units are plated, filled, assembled, and packed. Common failures include wrong enamel shade, underfilled recesses, weak post soldering, incorrect backstamp orientation, mixed plating tone between lots, offset print misregistration, and assembly errors on spinner or hinged items.

  • Request photos of the first 20 to 50 finished pieces from each mold cavity or tooling set.
  • Ask for at least one image with a ruler or caliper visible so finished size can be checked against the approved drawing.
  • Require a Pantone chip or approved print reference beside the sample when color match is critical.
  • Review at least 5 backs to confirm backstamp spelling, copyright year, and attachment placement.
  • For magnets, premium clutches, split rings, or chains, confirm the exact component type before full assembly starts.
  • If the order exceeds 50,000 pieces, schedule an in-line inspection when roughly 20% to 30% of output is complete.

For multi-part keychains and coins with epoxy, glitter, translucent fill, spinner centers, hinges, or cutouts, ask for a short video instead of still photos alone. A static image will not show hinge play, spinner drag, chain length mismatch, weak jump-ring closure, or loose center rivets. Those are the failure points that often survive until final inspection unless the buyer asks for proof earlier.

Step 6: Run Final QC With AQL, Function Tests, and Packaging Checks

Define defect classes in writing. Minor defects include small scratches visible only at close range, slight color variation within approved tolerance, light plating haze on the reverse side, or isolated dust points in epoxy that do not affect appearance at normal viewing distance. Without written defect definitions, inspection disputes become subjective and expensive quickly.

Add functional checks that match actual use. For lapel pins, cycle the butterfly clutch or rubber clutch 10 times and confirm the post remains straight and retention is secure. Express courier works for samples and very small orders but becomes uneconomical once carton count rises. Check customs classification with your broker before shipment. Before dispatch, request photos of sealed cartons showing shipping marks, carton sequence, and pallet condition where applicable. Then preserve the approved sample, inspection report, final invoice, packing list, carton photos, and artwork revision in one reorder file. On repeat orders, require the supplier to quote against the original frozen spec and disclose any change in raw material source, plating vendor, clutch vendor, or process sequence. Tooling wear can soften fine lines and reduce edge sharpness after repeated runs, especially on small text and narrow recessed areas.
